2. Scope & Roles

We act as a controller for account, billing, and product data. Organization admins may control member data within their org.

3. Information We Collect

Account & Profile: name, email, externalId (from Clerk), org memberships/roles.
Billing & Orders: order/checkout IDs, currency, amounts, refund status, product IDs (via Polar). We do not store full card data.
Product Content: patent details, questionnaire responses, claims, notes, attachments, prior‑art search queries/results.
AI Outputs & Derived Data: prompts/outputs (e.g., scores, claims drafts).
Logs & Audit: actions, timestamps, IP/device metadata where available.
Usage & Technical: device/browser info, performance metrics.
Cookies: essential auth/session cookies (e.g., Clerk). No third‑party advertising cookies.

4. Sources

From you/your org, your devices, and integrated providers (auth, payments, model providers).

5. How We Use Information

Provide, secure, and maintain the Service; run prior‑art search and AI features; process payments; provide support; improve the Service; comply with legal obligations; enforce Terms.

6. AI/Model Providers

We may transmit limited data to model providers (e.g., OpenAI via Vercel AI SDK) to produce outputs. OpenAI states API data is not used to train OpenAI models by default. We apply data minimization.

7. Legal Bases (where applicable)

Contract necessity; legitimate interests (security, improvement); consent where required; legal obligations.

8. Sharing

Service Providers (processors):

Convex (application backend and data storage)
Clerk (identity/auth)
Polar (payments and webhooks)
OpenAI (models via Vercel AI SDK)
Vercel (hosting, performance insights, and analytics)
Cloud hosting and other infrastructure providers

Other sharing:

Organization Admins (org‑scoped data)
Legal/Compliance (as required by law)

We do not sell personal information or share it for cross‑context behavioral advertising.

9. International Transfers

Data may be processed outside your country. Where required, we use appropriate safeguards.

10. Retention

We retain data as needed to provide the Service, meet legal obligations, resolve disputes, and enforce agreements. You may request deletion subject to lawful exceptions.

11. Your Rights

12. Security

We use administrative, technical, and organizational measures to protect data. No method is 100% secure.

13. Children

Not directed to children under 13 (or under 16 where applicable). We do not knowingly collect such data.

14. Cookies & Do Not Track

We use essential cookies. We do not respond to Do Not Track signals at this time.

15. Changes

We may update this Policy. Material changes will be posted with an updated effective date.
